The short version: Room Parent is a beta product that helps parents organize school communications. By using it, you agree to use it as intended, keep your account secure, and accept that the service is provided as-is during beta. You can delete your account and your data at any time.
These Terms of Service ("Terms") govern your access to and use of Room Parent (the "Service"), operated by Room Parent ("we", "us", "our"). By creating an account, connecting your Gmail, forwarding emails to a Room Parent address, or otherwise using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, do not use the Service.
Room Parent is a school communications assistant for parents and legal guardians. The Service reads school emails (either through a Gmail connection you authorize or by forwarding emails to a unique address), extracts calendar events, adds those events to a Google Calendar, and answers questions about school activities through a WhatsApp assistant.
The Service is currently offered as a private beta. Features, availability, and behavior may change without notice. The Service is provided free of charge during beta.
You must be at least 18 years old and a parent or legal guardian of the child whose school communications you submit to the Service. By using the Service, you represent that you meet these requirements and that the information you provide is accurate. The Service is intended for users in the United States.
You are responsible for maintaining the security of your account credentials, including your Google account, magic link emails, and the WhatsApp number associated with your account. You agree to notify us promptly at [email protected] if you suspect any unauthorized access. We are not liable for losses arising from your failure to keep your account secure.
You agree to use the Service only for its intended purpose: organizing school communications for your own household or class. You agree not to:

Room Parent accesses your email content only with your explicit authorization, and only to the extent necessary to operate the Service.
Gmail connection. If you connect your Gmail account, you grant Room Parent read-only access (the gmail.readonly scope) for the sole purpose of locating and processing school emails from senders you have selected. We do not read, store, or process emails from senders you have not selected. We store an OAuth refresh token to maintain the connection. You can revoke this access at any time from the Email Sources page in Room Parent or from your Google account at myaccount.google.com/permissions.
Email forwarding. If you forward emails to a Room Parent address, you confirm that you are the intended recipient (or are authorized by the recipient) and that you have the right to forward the content for processing.
Support access. When you contact us for help, report a problem with the Service, or ask a question about how your account is behaving, you authorize Room Parent personnel to access the email content, extracted events, and account data reasonably necessary to investigate and respond to your request. We will limit this access to what is needed to help you and will not use it for unrelated purposes.
Room Parent's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, we use Gmail data only to provide and improve the user-facing features of Room Parent (extracting calendar events from school emails and answering parent questions about those events). We do not transfer Gmail data to third parties except as necessary to operate the Service, comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to users. We do not use Gmail data for advertising. We do not allow humans to read Gmail data unless we have obtained your explicit consent, it is necessary for security purposes (such as investigating abuse), to comply with applicable law, or for internal operations where the data has been aggregated and anonymized.
Room Parent is designed to be used by parents and legal guardians, not by children. Children do not interact with the Service directly. We collect only the minimum information about your child needed to organize school communications: first name, grade level, and school. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information through the Service, please contact us at [email protected] and we will delete it.
You retain ownership of the email content, child information, and other content you submit to the Service ("Your Content"). By submitting Your Content, you grant Room Parent a limited, non-exclusive, worldwide, royalty-free license to host, store, process, and display Your Content solely as needed to provide the Service to you and your authorized household or class members.
This license terminates when you delete the relevant content or your account, except where retention is required by law or for legitimate operational purposes (such as backup retention).
The Service, including its software, design, content (excluding Your Content), trademarks, and logos, is owned by Room Parent and is protected by copyright, trademark, and other laws. We grant you a limited, non-exclusive, non-transferable license to access and use the Service for personal, non-commercial purposes in accordance with these Terms. You may not copy, modify, distribute, sell, or create derivative works of the Service without our prior written consent.
The Service relies on third-party providers, including Google (Gmail API, Google Calendar, OAuth), Twilio (WhatsApp messaging), Postmark (email processing), Supabase (database and storage), Cloudflare (hosting), and PostHog (analytics). Your use of those services is subject to their own terms and privacy policies. We are not responsible for the acts, omissions, or content of third-party services.
The Service is currently a private beta. You acknowledge that beta features may contain bugs, may be changed or removed without notice, and may not be available continuously. We do not guarantee any particular level of availability, performance, or feature set during the beta period. We may end the beta or modify pricing at any time, with reasonable notice for material changes.
Room Parent uses artificial intelligence (currently Google Gemini) to extract events from school emails and to answer questions through the WhatsApp assistant. AI output may be inaccurate, incomplete, or out of date. You should treat extracted events and assistant responses as helpful suggestions, not as authoritative sources, and confirm important details against the original school communications. We are not responsible for missed events, incorrect dates, or other errors in AI-generated output.
You may stop using the Service at any time. You may request full account deletion by contacting [email protected], which will permanently remove your account, children, emails, events, calendars, and conversation history.
We may suspend or terminate your access to the Service, with or without notice, if we believe you have violated these Terms, if your use poses a risk to the Service or other users, or if we discontinue the Service. Upon termination, the rights granted to you under these Terms will end, but the sections that by their nature should survive (including ownership, disclaimers, limitation of liability, indemnification, and governing law) will survive.
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY WARRANTIES ARISING OUT OF COURSE OF DEALING OR USAGE OF TRADE.
WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, SECURE, OR FREE OF VIRUSES OR OTHER HARMFUL COMPONENTS, OR THAT EVENT EXTRACTION WILL BE COMPLETE OR ACCURATE.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT WILL ROOM PARENT, ITS AFFILIATES, OR ITS SERVICE PROVIDERS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE, WHETHER BASED ON WARRANTY, CONTRACT, TORT (INCLUDING NEGLIGENCE), OR ANY OTHER LEGAL THEORY, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
OUR TOTAL LIABILITY FOR ANY CLAIMS ARISING OUT OF OR RELATED TO THE SERVICE WILL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID US IN THE TWELVE MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM, OR (B) ONE HUNDRED U.S. DOLLARS ($100).
You agree to indemnify and hold harmless Room Parent and its affiliates from any claims, losses, liabilities, damages, and expenses (including reasonable attorneys' fees) arising out of or related to: (a) your use of the Service in violation of these Terms; (b) content you submit to the Service that you did not have the right to submit; or (c) your violation of any law or the rights of any third party.
These Terms are governed by the laws of the State of California, without regard to conflict-of-laws principles. Any dispute arising out of or related to these Terms or the Service will be brought exclusively in the state or federal courts located in San Francisco County, California, and you consent to the personal jurisdiction of those courts.
We may update these Terms from time to time. If we make material changes, we will notify you by email or WhatsApp before the changes take effect. The "Last updated" date at the top of this page indicates when these Terms were last revised. Your continued use of the Service after changes take effect constitutes your acceptance of the updated Terms.
