The short version: Room Parent helps parents organize school communications into a calendar. We access only the data you choose to share, we never sell your data, and you can delete your data at any time.
Room Parent is a school communications assistant for parents. It reads school emails (either through a Gmail connection you authorize or by forwarding emails to a unique address), extracts calendar events like field trips, school closures, and deadlines, and puts them on a Google Calendar for you. You can also ask questions about school events via WhatsApp.
Account information: When you sign up, we collect your email address (via Google sign-in or magic link), your first name, and optionally your phone number for WhatsApp updates.
Child information: We collect your child's first name, grade level, and school. We use this to match school emails to the right calendar and filter events by grade. We do not collect your child's last name, date of birth, or any other identifying information.
School email content: When you connect Gmail or forward school emails to Room Parent, we access email content from the specific school senders you select. We store the email subject, sender, date, and body text. We extract calendar events from the content. We do not access emails from senders you haven't selected.
Gmail access: If you choose to connect Gmail, we request read-only access (gmail.readonly) to scan your inbox for school emails. We only read emails from senders you explicitly select during setup. We store an OAuth refresh token to maintain the connection. You can disconnect Gmail at any time from the Email Sources page.
WhatsApp conversations: When you message Room Parent on WhatsApp, we store the conversation history to provide context for future questions. Conversations are private to your account.
Within your household: If you invite another adult (spouse, co-parent, grandparent) to your household, they can see the same calendar events and school email content for your shared children.
Within your class: If your room parent has set up a class group, school emails from senders marked as "Class" are shared with all families in the grade. Emails from senders marked as "Private" are only visible to your household. Your room parent controls which senders are shared.

Room Parent uses the following services to operate:
Your data is stored in Supabase's cloud infrastructure with encryption at rest. Raw email content is stored in a private storage bucket accessible only to your household. Database access is controlled by row-level security policies that prevent users from accessing other families' data.
OAuth tokens for Gmail connections are stored securely and used only to maintain your email scanning connection.
Room Parent is designed for parents, not children. Children do not interact with Room Parent directly. We collect minimal child information (first name, grade, school) solely to organize school communications. We do not knowingly collect information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
We retain your data for as long as your account is active. When you delete content, it is permanently removed from our database, storage, and your Google Calendar. When your account is deleted, all associated data is permanently removed.
WhatsApp conversation history is retained to provide context for the school assistant. Invitation links expire after 7 days.
We may update this privacy policy from time to time. If we make significant changes, we will notify you via WhatsApp or email. The "Last updated" date at the top of this page indicates when the policy was last revised.
